Maya For QuickBooks ("Maya," "we," "us") provides an SMS-based receipt processing service that converts texted receipt images into QuickBooks expense entries. This Privacy Policy explains what data we collect, how we use it, and the choices you have regarding your information.

• Message metadata: Timestamps and message status from SMS interactions.

• Technical data: IP address and device type collected through standard web server logs.

• To process receipt images and create expense drafts in QuickBooks.

4. Data We Do Not Collect

5. Data Storage and Security

Your data is stored on encrypted servers in the United States. Receipt images are processed by our AI and retained for 90 days to allow for corrections, then permanently deleted. QuickBooks OAuth tokens are stored encrypted and can be revoked at any time.

We use industry-standard security measures including TLS encryption for data in transit and AES-256 encryption for data at rest. Access to personal data is restricted to authorized personnel on a need-to-know basis.

6. QuickBooks Integration

Maya connects to your QuickBooks account via Intuit's OAuth 2.0 API. We request only the scopes necessary to create expense entries (vendor, amount, date, category). We do not access your full QuickBooks financial history, bank account details, or payroll information. The connection can be revoked at any time from your QuickBooks account settings or by contacting us.

7. SMS Communications

By using Maya, you consent to receive SMS messages related to receipt processing. Standard messaging rates from your carrier may apply. You can opt out at any time by replying STOP to any message. Message frequency varies based on your usage.

8. Third-Party Services

We work with the following third parties to deliver the service:

• Intuit QuickBooks: For creating expense entries in your account.
• SMS/Twilio: For sending and receiving text messages.
• Cloud AI provider: For receipt image recognition and data extraction.

Each third party has its own privacy policy and terms. We share only the minimum data necessary to provide the service.

9. Your Rights and Choices

• Access: You can request a copy of your personal data at any time.
• Correction: You can request corrections to inaccurate or incomplete data.
• Deletion: You can request deletion of your data and account.
• Opt-out: Reply STOP to any SMS to stop receiving messages, or email us to unsubscribe.
• Data portability: You can request an export of your data in a machine-readable format.

11. Data Retention

• Receipt images: Deleted 90 days after processing.
• Account data: Retained while your account is active; deleted within 30 days of account closure.
• Usage logs: Retained for 12 months for security and analytics, then deleted.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via SMS or email at least 30 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision.
